Budget & Contracts Manager

The Boston Athletic Association, which conducts the annual B.A.A. Boston Marathon and other running and social events, seeks an individual with experience in contract, event support and financial management.  This individual will work closely with our Treasurer as well as with our existing managers in the operation and management of the support systems utilized for our events.  We are especially interested in the efficient management of our relationships with the many third parties with whom we deal, as well as in work with our Treasurer to assist with the effective financial management of our events. We are looking for broad experience in this area, including matters such as ensuring consistency among pre-event expectations, invoices submitted to us and actual vendor and supplier performance analysis. The position will involve extensive interaction with and support to our Race Director, our Treasurer and key team members involved in staging B.A.A. events.

Major responsibilities include:

  • Working with our event operations teams, assisting in the many contract management activities associated with our events involving contractors and vendors, including both direct support and assisting in the establishment of standards in these areas
  • Taking an active role in contract preparation and the development of contract forms and contracting practices
  • Developing Requests for Proposals for contractors and vendors
  • Working closely with information technology providers to insure that onsite support is in place and that systems are fully tested and operable
  • Assisting in the management and procurement of material assets required for our events
  • Assisting Marketing and Communications personnel to support sponsorship activities and the proper use and positioning of the B.A.A. brand
  • Identifying and driving best practices in the preparation, review and use of RFPs in support of third party bidding processes
  • Participating in the creation and use of operational budgets
  • Assisting with timelines and allocation of responsibilities for our events
  • Assisting in the ongoing review and continuous improvement of all event-related programs and processes, including especially contracting processes and third party relationship management matters

Skills and Experience:

  • Five years experience in contract management involving general and subcontractors
  • Substantial experience in contract drafting and the development of contracting processes
  • Technical and logistical experience directly associated with large scale public events; experience in road races and similar events helpful but not essential
  • Site planning and management experience; Development and management of event budgets; Experience with developing complex models in Excel; excellent analytical and modeling skills are required
  • Strong ability in writing both short, highly analytical pieces as well as longer, more discursive analyses
  • Experience in partnering with non-financial functions within an organization and effectively communicating results, trends, etc. is essential.
  • Strong interpersonal and communication skills
  • Warehouse and inventory control experience
  • Experience in working with information technology providers to develop information support systems for event management
  • Ability to multi-task and work long hours and some weekends
  • Initiative energy and determination to carry out assignments in a positive fashion

When many think of the Boston Marathon, they think of Team Hoyt, the father/son team of Dick and Rick who have participated in their unique way 30 times. Dick was 69 at the 2010 Boston Marathon. Their final historic race came in 2014.
